Working with companies

The Company record also allows you to store all the useful contact numbers for technical support, licensing, legal, and other corporate departments. When you update a company record, all contacts linked to this company are updated at the same time.

 

Add a company

To add a new company record:

  1. In the navigation bar, click Company.
    A list of all the companies in your database opens.

  2. Click the  next to any company name to open it.

  3. On the sidebar, click the Create New AddNew button to open a blank Company Detail dialog box.

  4. Enter a company name.

  5. Add any other information on the Addresses, Phones, and Notes tabs.

Add contacts

To add existing contacts to a company record, you must go to each related Contact and create a link.

You can add a company to a contact by linking. You cannot add an existing contact to a company except by linking from that person’s record.

To create a new contact from a company record:

  1. Click the plus-icon on the Contacts tab.

  2. When the Contact record opens, enter a first and last name and any other information you have. The link to the company is already there.

Addresses

Many companies have more than one location, whether main office, meeting rooms, location offices, etc.

To add an address:

  1. Open the Addresses tab and click the plus-icon button.
    The Address Detail dialog box opens.

  2. In the Keyword field, enter a name for this record: Main Office, Home, New York, Hollywood, etc.

  3. Enter any other useful information, including Notes.

  4. Note:    City and Zip are both type-ahead fields. Enter or choose from the drop-down list. State is a drop-down list.

  5. When you’re finished, click Done.

Delete an address

To delete an address, click the next to the address on the Address tab, and click the delete_button button.

Contact Numbers

To add a contact number, fax, e-mail, web address, chat ID, or any other number to the Company record:

  1. Open the Phones, etc. tab and click the plus-icon button.

  2. When the Phone Detail dialog box opens, enter or choose a type from the drop-down list.

  3. Enter the number and, if appropriate, a description.

  4. When you’re finished, click Done.
